Your leave allowance

How your annual allowance, hours taken and remaining balance are worked out, and how the leave year is set.

Your leave allowance is the number of hours of time off you're entitled to in a leave year. Your manager sets and reviews this; it isn't something you edit yourself.

What makes up your balance

  • Allowance (hours/year) — your entitlement for the leave year.

  • Carried over (hours) — any unused hours brought forward from the previous year.

  • Taken — hours of approved leave that count towards your allowance.

  • Remaining — your allowance plus carried-over hours, minus what you've taken.

Only leave types that are set to count towards the allowance are deducted. By default that's Annual leave — types like Sick, TOIL and Unpaid leave don't reduce your balance. Only approved leave is counted; pending requests aren't deducted until a manager approves them.

The leave year

Your organisation sets which month the leave year starts. The UK default is April, so a leave year runs (for example) from April one year to March the next. Hours taken are counted against the leave year their start date falls in.

Managers view and edit allowances under Leave allowances on the Leave & availability page, choosing the staff member and Leave year, where Taken and Remaining are shown.

Tips
  • If your remaining balance looks wrong, ask your manager to check your **Allowance** and **Carried over** figures for the right **Leave year**.
  • Entering **Hours** when you book leave keeps your **Taken** total accurate.
