When a payroll run is built, hours are sorted into buckets so overtime and sleep-ins are paid correctly. You don't sort them by hand — it follows the pay rates and shift types you've set up.
Overtime
Overtime is worked out per person, per week (Monday to Sunday, UK time). The threshold is the person's Contracted hrs/week on the Pay rates page. Approved hours up to that figure go in the basic bucket at their normal rate; anything above it goes in the overtime bucket at their Overtime (£/hour) rate.
No overtime rate set on a person means no overtime split — and the line is flagged to review.
Agency staff are never split into overtime; all their hours price at the agency charge.
Salaried staff are priced but flagged to review, since overtime usually needs a manual decision.
A week that straddles two runs is shared pro-rata, so it isn't double-counted or under-counted.
Sleep-ins
A sleep-in shift is priced into its own sleep-in bucket, separate from worked hours, using the shift's own sleep-in rate. There are two ways a sleep-in can be rated:
Flat — a single fixed amount for the sleep-in, paid once even if no waking hours are clocked.
Hourly — the sleep-in rate multiplied by the hours.
If a sleep-in shift has no rate set, its payroll line is flagged to review so it isn't silently paid nothing. Both overtime and sleep-in buckets are calculated automatically in every run — you'll see them named in the preview and on the PDF summary.
- Set Contracted hrs/week and an Overtime rate on each person, or overtime can't be split out.
- Agency hours never become overtime — they're always charged at the agency rate.
- A sleep-in with no rate is flagged 'to review' rather than paid £0, so check those lines before finalising.
