Sharing in Carerealm is folder-level and group-based. You can't share a single file directly, and there are no public / time-limited share links — sharing is always internal to your realm.
How sharing works
Open the folder.
Click the kebab (⋯) menu → Share.
Pick one or more user groups. Members of those groups will have read access to the folder.
Save. The folder shows a shared icon on its tile.
What you can't do
Share with specific named users — sharing is group-based, not user-based. Add the user to an appropriate group instead.
Create public/time-limited links — Carerealm doesn't generate public URLs. Everything stays inside the platform.
Passcode protection — no separate passcodes on folders.
View-only vs download — recipients can read AND download. Use the area's access list if you need read-only access.
Note — For external recipients (e.g. a CQC inspector who isn't in your realm), download the files locally and email them, or invite the inspector as a temporary realm user. There's no public share mechanism today.
