Publishing a policy

How realm admins add a new policy and what happens to staff at publish time.

Only realm admins can publish policies. Open Policies & Procedures from the side menu and click Add policy.

Steps

  1. Title — clear and descriptive ("Medication administration", not "Doc 12").

  2. Folder — optional. Pick an existing folder or create one on the fly.

  3. Body — use the rich-text editor. Paragraphs, headings, bullets, images, tables, links.

  4. Optional: tick Alert on publish to notify every realm member that a new policy is live.

  5. Save. The policy is live immediately — there is no separate publish step.

Heads up — There is no draft state for policies. Saving publishes. If you need to draft a major policy quietly, write it elsewhere first and paste in once it's ready.

What happens at publish time

  • The policy appears in the realm Policies page and every area's Policies tab.

  • Every non-admin user gets an in-app notification + email (when alerts are on).

  • The policy.section_created workflow trigger fires.

  • Staff see a banner on the policy until they mark it read.

Tip — Keep policies focused. One topic per policy reads far better than a 30-page omnibus document. Use folders to group related policies if the list grows long.
