The rota builder

Build each person's rota on the grid — switch between Week and Month views, read the legend and move between weeks.

Every supported person has their own rota. Open the area's Rota tab to reach the builder, where managers create shifts and staff see what they're scheduled for.

Week and Month views

Use the Week / Month toggle at the top to switch views. Week is the working grid: a row for each staff member, a column for each day, with an Open shifts lane at the top for shifts nobody has been assigned to yet. Managers drag shift cards between people and days here.

Month is a read-and-navigate calendar showing every shift as a small chip. Click a day number to jump straight to that week's builder, or click a chip to open and edit that shift.

Moving between weeks

  • Use the and arrows to step back or forward one week (or one month in Month view).

  • Click Today to jump back to the current week.

  • The date range next to the arrows shows which week you're looking at.

The legend

Below the toolbar a small key explains the shift colours:

  • Published — a solid coloured card; staff can see it on their rota.

  • Draft — a dashed outline; only managers see it until it's published.

  • Open shift — an amber card; unassigned and waiting for a carer.

Who can edit

Only managers with edit access can build the rota — add, move, edit and delete shifts. Everyone else sees a read-only view marked "Read-only — managers can edit this rota", showing only published shifts. A manager's exact powers (editing, publishing, approvals) can be fine-tuned, so some managers may see the grid without every button.

Tips
  • The builder reopens on the last week you were viewing for that person, so you can pick up where you left off.
  • Use the **Team** filter in the legend to show only the staff in one team when a person has a large group of carers.
