One tab for everything competency-related: the skill & certificate catalogue, who holds what, training courses and the mandatory-training matrix.

Everything about staff competencies lives in one place: Settings → Staff Rota → Skills & training. It has four sub-tabs that follow the natural order — define what you track, record who holds it, deliver the training, then check coverage.

Skill types

The catalogue of skills and certificates your service tracks — for example Moving & Handling, Safeguarding, DBS, PEG feeding or Buccal Midazolam. Each entry has a type (skill or certificate), an optional category and an optional renewal period in months. These are definitions only: they're the shared list that competencies, courses, a person's required competencies and shift eligibility all point at.

Who holds what

The live register of which staff member currently holds which skill or certificate, with the achieved date, expiry date, assessor and evidence. This is the 'is this carer signed off right now?' view, and it's what the rota checks when you try to assign someone. An Expiring & expired panel flags anything due within 60 days.

Courses

Your training course catalogue plus a completion log. A course can be marked mandatory, given a refresh period, and linked to the skill it grants. Record a completion against a staff member with the date, assessor and evidence — and if the course is linked to a skill, that competency is granted or renewed automatically, so you never record it twice.

Training matrix

A grid of staff against your mandatory courses showing, for each person, whether the training is valid, due soon, expired or not yet done — your at-a-glance training-compliance view for supervisions and inspections.

Tips
  • A course completion linked to a skill auto-updates the competency register — record it once under Courses, not again under Who holds what.
  • Set a renewal period on a skill type (or a refresh period on a course) so expiries are tracked and flagged automatically.
  • Skill types defined here are exactly what you pick from when you set a supported person's required competencies.
