Inviting users

How to add a new staff member to your realm and assign their initial role.

Adding a staff member happens at Admin → Account directory. There isn't a separate "Invitations" queue — creating the account and sending the invite happen in one step.

Adding a single user

  1. Open Admin → Account directory.

  2. Click New account.

  3. Email — the address the user will sign in with. Must be unique within your realm.

  4. Name — what colleagues will see on diary entries, eMAR, messages.

  5. Permission — pick Regular account (default) or Admin account (full realm admin).

  6. Save. The user is created immediately and Carerealm sends them an email titled "You've been invited to join Carerealm" with a sign-in link.

Regular account

No access by default — admins or moderators must add them to specific {{areas}}.

Admin account

Full realm-admin access immediately. Sees every {{area}}, every admin page, every user.

Note — Moderator status is set per-area, not at invite time. Once the user is in the realm, open the area settings and add them to the moderators list.

Re-sending or resetting an invite

If a user didn't get the email, they can use Forgot password on the login page — Carerealm sends them a fresh sign-in link via the same email address. There isn't a separate "resend invite" button.

Removing a user

From the Account directory, open the user and click Suspend to disable sign-in. Suspended users keep their historical record (so diary attribution stays correct) but can't access the realm. Permanent deletion is a GDPR right-to-erasure action — contact [email protected].

Heads up — There's no bulk CSV invite today. If you need to onboard a large team, contact support — we can do a bulk import on your behalf.
