Money tracking — overview

Per-area petty-cash ledger with running balance and per-transaction verification.

Money tracking is the area's petty-cash ledger. Carers record what came in (allowances, refunds, contributions) and what went out (groceries, activities, travel) so the cash tin always matches the system.

What you can do here

  • Record transactions — money-in or money-out, with a description and optional receipt photo.

  • See the running balance — the cumulative total of every transaction.

  • Verify transactions — managers can mark transactions as verified (with a comment) so audit reviews can spot what's been checked.

  • Attach receipts — one image per transaction.

Note — Carerealm doesn't have a built-in category dropdown (Shopping / Activities / Travel etc). Use the description field to tag transactions consistently — e.g. "[Shopping] Sainsbury's weekly" or "[Travel] Taxi to dentist" — so they're easy to filter and report on.

Who can see and edit

Anyone with access to the area can view the ledger and record new transactions. Editing or deleting a recorded transaction is restricted to area moderators and realm admins — that's a safeguarding control, so a single carer can't silently rewrite the petty-cash record.

Heads up — Money tracking is part of the legal record. Don't use it for personal cash kept by staff — it's for the supported person's money only.
