The Rota reports page gives managers two management views side by side: how each area's funded hours compare to what was actually scheduled and delivered, and how reliably each staff member is turning up. It's admin-only and reached from Rota overview via the Reports button.
Choosing the period
At the top, pick a period with Last 4 weeks, Last 12 weeks or This month. The chosen date range is shown on the right, and a summary strip shows organisation totals: Funded h, Scheduled h, Delivered h, Open h and Late.
Coverage — per supported person
The Coverage table lists one row per area with Funded h (their commissioned hours for the period), Scheduled h (published shifts), Delivered h (from approved timesheets), Open h (unfilled shifts) and Variance (scheduled minus funded).
Open h is highlighted in amber — these are published shifts with nobody assigned, i.e. gaps you still need to cover.
A negative Variance (in red) means you've scheduled fewer hours than are funded; a positive variance (in green) means more.
Only published shifts count towards Scheduled h, and only approved timesheets count towards Delivered h.
Attendance — per staff member
The Attendance table lists one row per staff member with Shifts worked, Late arrivals, Early leave and Worked h in the period. Late arrivals are highlighted so problem patterns stand out. For sickness, use the Bradford Factor table further down the page. Rejected timesheets are excluded.
Exporting
Each table has its own Export CSV button that downloads just that table for the chosen period. To download both tables together as a branded document, use Download PDF in the page header.
- 1Open **Rota overview** (under the Admin menu) and click **Reports**.
- 2Choose a period with **Last 4 weeks**, **Last 12 weeks** or **This month**.
- 3Read the **Coverage** table to see funded vs scheduled vs delivered hours per area, and watch for amber **Open h**.
- 4Read the **Attendance** table to see shifts, late arrivals, early leaves and worked hours per staff member.
- 5Click **Export CSV** under either table to download it, or **Download PDF** in the header for a branded copy.
- Funded hours come from each area's commissioned weekly hours, so check those are set if a row shows no funded figure.
- For sickness patterns, use the **Bradford Factor** table further down the page — it's the real sickness view.
