Teams let you group staff — for example a Night team or Weekend cover — so you can quickly filter the rota and reports down to just those people. Teams are a staff grouping only: they're completely separate from areas (the people you support), and adding someone to a team doesn't change who they're scheduled for. The page is admin-only and is opened from the Teams button on Rota overview.
Creating a team
In the New team box, type a name, pick a Colour from the palette and click Add team. The new team appears in the All teams list showing its member count, number of leads, and hours scheduled this week.
Adding members and leads
Click a team in the list to open its editor. Use the Members search to add staff, then mark anyone who runs the team by clicking Lead (the star) next to their name. Click Save team to keep your changes — this saves the name, colour and members together.
Renaming, recolouring and deleting
Change the Team name or Colour in the editor and click Save team.
Click the bin icon on a team in the list to delete it. Deleting removes only the grouping — the staff stay on the rota exactly as before.
Using teams as a filter
Once a team exists, a Team filter appears in two places: the staff-row filter in the rota builder (a dropdown that starts on All staff), and the Attendance filter on the Reports page (starting on All teams). Filtering the rota only hides staff rows; open shifts and the people you support are unaffected. On Reports, the team filter narrows the Attendance list — Coverage always stays organisation-wide.
- 1Open **Rota overview** and click **Teams**.
- 2Type a name in **New team**, choose a **Colour**, then click **Add team**.
- 3Click the team in **All teams** to open its editor.
- 4Search **Members** to add staff, and click **Lead** beside anyone who leads the team.
- 5Click **Save team**.
- 6Use the **Team** dropdown in the rota builder or the Attendance section of Reports to filter by that team.
- A staff member can belong to more than one team — teams are just labels for filtering.
- The colour you choose is shown as a dot beside the team name to tell teams apart at a glance.
