Locking puts a diary entry into a read-only state. The entry can still be read by people with permission; nobody can edit it (including moderators) until a realm admin unlocks it.
Who can lock
Realm admins only. area moderators can edit and archive but cannot lock or unlock.
When to lock
A safeguarding entry that may form part of an external investigation — freeze it before anything happens to the wording.
A serious incident record that's been finalised and reviewed.
Any entry that needs to be preserved verbatim while a manager checks it.
How to lock
Open the entry (Mode A) or the revision (Mode B).
Open the 3-dot menu on the entry card (or the Actions menu in the Revision View).
Click Lock entry / Manage lock.
The lock dialog opens. Optionally tick named users who should still be able to see the locked entry.
Confirm. A yellow Entry locked pill appears on the entry card.
What locked entries look like to other users
On the allow-list (or admin) — sees the content with the locked pill.
Not on the allow-list — sees a warning card:
"This diary entry is locked, only an admin or selected users can view it."
Unlocking
Re-open the lock menu and click Unlock. The entry returns to normal. The lock + unlock events are both in the audit history.
