Archiving diary entries

How to mark old entries archived — they drop out of the active view but stay in the record.

Diary entries never expire. As years build up, archiving moves old or no-longer-relevant entries out of the active feed while keeping them in the record for compliance.

Who can archive

area moderators and realm admins. Regular members cannot.

How to archive

  1. Open the diary for the day containing the entry.

  2. Open the 3-dot menu on the entry card (in Mode A) or the Actions menu in the Revision View (in Mode B).

  3. Click Admin → Remove entry (Mode A) or Archive revision (Mode B).

  4. Confirm. The entry disappears from the active feed immediately.

Note — Admins also have Move all revisions and Archive all revisions on the Mode-B day card menu — for archiving a whole day's history in one click. Use carefully.

What archived entries look like

  • Hidden from the default diary view.

  • Still visible in admin audit history.

  • Still indexed by Carerealm's search.

  • Still included in compliance exports.

  • Logged in the audit trail with the archive timestamp and the user who archived.

Note — Carerealm doesn't auto-archive entries on a schedule. If your service wants "drop old entries after N months", set yourself a recurring reminder or build a workflow — there isn't a built-in cron.

Heads up — Archive sparingly. A diary entry only needs archiving if it's genuinely no longer useful for day-to-day work. Don't archive something just because it's embarrassing — that's a misuse of the feature and trips audit-trail flags.
