Why can't I record this medication?

Common reasons the recorder refuses an administration, and how to resolve each.

If the recorder rejects an administration, the error message will tell you which check fired. Most common causes:

Outside administration window

You're past the after-buffer (Missed) or before the before-buffer.

Use off-schedule with a reason, or retrospective if the dose was actually given on time.

Approval required

Your realm uses blocking approval mode for off-schedule or retrospective.

Wait for a manager to approve in Approvals.

PRN dose limit reached

The minimum interval or 24h max has been hit.

Do NOT administer. Contact the prescriber.

Medication expired

The medication's expiry date has passed.

Use fresh stock. Update the medication record. Disposal goes via stock.

Sheet expired

The MAR sheet's validity window has ended.

Open the active sheet or create a new one.

No permission

Your eMAR role doesn't include recording.

Speak to your manager — see Roles & permissions.

Safety warning blocks

Allergy, interaction or daily-dose limit.

Read the warning. Override only with a real reason and (where required) senior approval.

Heads up — If you can't resolve the block within a reasonable time AND the medication is clinically urgent, escalate to the nurse in charge. Don't try to circumvent the system (e.g. by signing in as someone else) — that triggers safeguarding flags.
