What is the Staff Rota?

An overview of the Staff Rota: who works when for each supported person, plus time, leave, pay and reports.

The Staff Rota is Carerealm's scheduling add-on. It plans who is working, and when, for each person you support — so the right care staff are rostered to the right area at the right time.

Unlike a generic team rota, the Staff Rota is built around the people you support. Every area has its own rota, and shifts are scheduled against that area rather than against an abstract location.

Who uses it

  • Care staff see their own shifts, claim open shifts, book leave and clock in and out.

  • Managers (moderators of a area) build and publish the rota, approve timesheets, leave and shift requests.

  • Realm admins set up pay rates, roles, permissions, funders and reporting across the whole service.

What it covers

  • Shifts — building, publishing, open shifts to claim, and 2:1 (multi-carer) shifts.

  • Time & attendance — clock in and out, breaks and timesheets.

  • Leave & availability — booking leave, allowances and stating when staff can work.

  • Pay & payroll — pay rates, labour-cost control and payroll-ready exports.

  • Reports — coverage, attendance, working-time compliance and funding.

What you can see and do depends on your role. Care staff get a personal view of their own shifts, while managers and admins get the building and oversight tools.

Tips
  • The Staff Rota is a paid add-on — if you can't see it yet, a realm admin needs to turn it on from Billing.
  • "Area" here means a person you support, so each area has its own rota.
