If you can't do a shift, you don't need to phone round. Open the shift on My shifts and tap Swap / cover to open the Request a change box, where you choose one of three options.
The three request types
Swap — offer the shift to a specific colleague. You pick who, and they need to accept it before anything changes.
Drop — hand the shift back to the pool so it becomes an open shift someone else can pick up.
Cover — ask eligible colleagues if anyone can cover. The first person to accept takes the shift.
Each option has a short description in the box, and you can add an optional message explaining the reason. A Swap also asks you to choose the Colleague you want to swap with.
Does it need a manager's approval?
Whether a request goes through automatically or waits for a manager depends on your organisation's settings — each type (swap, drop and cover) can be set to require approval or not. By default they require manager approval.
When approval is required, your request shows as Awaiting manager until a manager approves or declines it.
When approval is not required, a drop opens the shift straight away, and a swap or cover completes as soon as the colleague accepts.
Your organisation can also turn any of the three types off entirely. If an option isn't available to you, it simply won't appear in the box.
- 1On **My shifts**, find the shift and tap **Swap / cover**.
- 2In **Request a change**, choose **Swap**, **Drop** or **Cover**.
- 3For a swap, pick the **Colleague** you want to hand the shift to.
- 4Add an optional **Message** with any context.
- 5Tap **Send swap**, **Drop shift** or **Request cover** to submit.
- Only one open request is allowed per shift — withdraw the first if you want to try a different option.
- You'll be notified when a colleague responds or a manager makes a decision.
- Track everything you've sent under **Your requests** on the same page.
